What to include on an invoice
A clear invoice gets paid faster. Make sure yours has:
- Your business name, address and contact details
- Your client's name and billing address
- A unique invoice number and the date it was issued
- The payment due date or terms, such as Net 15 or Net 30
- An itemized list of products or services with quantities and rates
- Subtotal, any discount, tax and the total amount due
- How to pay you, such as ACH, check or card
Invoice payment terms explained
Payment terms tell your client when the invoice is due. The generator calculates the due date from the issue date and the terms you pick.
- Due on receipt
- Payment is expected as soon as the client gets the invoice. Common for small jobs, household clients and final invoices.
- Net 7 and Net 15
- Due 7 or 15 days after the invoice date. A good default for freelancers and small businesses that want steady cash flow.
- Net 30
- Due 30 days after the invoice date. The standard for business-to-business work, especially with larger companies whose accounts payable teams pay in batches.
- Net 45 and Net 60
- Longer terms some large clients ask for. Agree to them in your contract before you send the invoice, and plan your cash flow around the wait.
Frequently asked questions
Is this invoice generator really free?
Yes. There is no account to create, no watermark on your invoice, and no limit on how many invoices you make.
Is my invoice data private?
Yes. Everything you type, including your logo, stays in your own browser. Nothing is uploaded to a server. Your last invoice is saved on this device so you can pick up where you left off.
How do I download my invoice as a PDF?
Fill in the form, then select Save as PDF above the preview. The PDF is US Letter size with real, selectable text, so it prints cleanly and can be searched.
Can I add my company logo?
Yes. Upload a PNG, JPG, WebP or SVG file in the Template and branding section and choose a small, medium or large size. The logo appears on the preview and on the PDF.
How is sales tax calculated?
Enter your tax rate as a percentage. Tax is applied to the subtotal after any discount. Use the rate that applies to your services and your client's location.
How do I show a deposit that was already paid?
Enter it in the Amount already paid field. The invoice then lists the total, the payment and the balance due, which is the amount your client still owes.
What currencies are supported?
US dollars, euros, British pounds, Canadian dollars and Haitian gourdes. Amounts are formatted for the currency you pick.
How do I make my next invoice?
Select Start next invoice. It keeps your branding, business details and client, adds one to the invoice number, sets today's date and clears the line items.
