What to put in a professional email signature

A good signature tells people who you are and how to reach you, without turning every email into a business card. Keep it to:

  • Your full name, job title and company
  • One or two phone numbers and your website
  • Your logo, kept small so it loads fast and doesn't get flagged as an attachment
  • One clear call to action, such as booking a call
  • Social links only for profiles you keep up to date
  • A legal disclaimer only if your industry requires one

Email signature templates

Pick the layout that fits how you work. Every template uses the same details, so you can switch between them without retyping anything.

Divider
Your logo or photo on the left, a colored rule, then your name and labeled contact lines. A classic business layout that works for almost anyone.
Card
A framed signature with a color strip on top and a footer for your call-to-action button and social links. Good for sales and client-facing roles.
Banner
Your name and title on a solid color header, with contact details below. The boldest option, and easy to spot in a long email thread.
Executive
A serif name, small capitals for your title and a thin rule. Understated and suited to leadership, legal and finance.
Band
A slim color bar on the left with your logo or photo on the right. Clean and modern without taking up much height.
Compact
Two short lines with no logo. Ideal for replies, internal email and anyone who prefers a minimal signature.

Frequently asked questions

Is this email signature generator free?

Yes. There is no account, no watermark or "made with" link in your signature, and no limit on how many signatures you make.

Which email apps does it work with?

Gmail, Outlook (new, classic and on the web), Apple Mail and iPhone Mail. Signatures are built with tables and inline styles, which is what email apps display reliably.

How do I add my signature to Gmail?

Select Copy signature, then in Gmail go to Settings, See all settings, General. Under Signature select Create new, paste, choose it as the default and select Save Changes at the bottom of the page.

Can I use a photo of myself instead of a logo?

Yes. Add a headshot by URL or upload it, then set Image shape to Circle for the classic round profile photo. Uploaded photos are cropped to a square and compressed automatically. A hosted image URL is still the most reliable, because some email apps hide images embedded in the signature itself.

Why does my signature turn into plain text on my phone?

The Gmail and Outlook phone apps only allow plain-text signatures. Set your signature up on a computer instead, and it is used whenever you send from the web. On iPhone Mail, if formatting disappears right after pasting, shake the phone and tap Undo Change Attributes.

Is there a size limit for email signatures?

Gmail allows up to 10,000 characters. The meter under the preview shows how close you are. If you go over, an uploaded logo is usually the cause, so switch to a logo URL.

Is my information private?

Yes. Everything you type stays in your browser and is saved only on this device so you can come back and edit it. Nothing is sent to a server.
