Tips for IT services invoices

Bill per device or per user

Show the unit in the description, such as per device or per user, and the count as the quantity. Clients can check it against their own headcount.

Keep project work separate

Bill one-time projects like migrations or hardware installs on their own lines or their own invoice, so recurring services stay easy to read.

Explain out-of-scope hours

Hours outside the service agreement should say what they were for. A short description prevents most billing disputes.

Reconcile counts monthly

Update device and user counts every month. Billing for devices a client has retired is a fast way to lose trust.

How do managed service providers invoice clients?

Most MSPs send a monthly invoice with recurring per-device or per-user charges for the coming month and any out-of-scope hours from the previous month.

Should IT hardware go on the same invoice as services?
