Tips for photography invoices
Show the retainer as paid
Wedding and event photographers usually take a non-refundable retainer at booking. Enter it in the Amount already paid field so the invoice shows the balance due.
Spell out usage rights
For commercial work, state the license in the notes, for example "web and social use for 12 months." It protects you and justifies your usage fee.
Itemize products
Albums, prints and extra digital files are easier to upsell when each is its own line with a clear price.
Release the gallery on payment
Many photographers deliver a watermarked proof gallery and release full-resolution images when the final invoice is paid.

When should a wedding photographer send the final invoice?
Most send it two to four weeks before the wedding with the balance due a week before the date, or right after the event with short payment terms. Follow whatever your contract says.
How do I bill for image licensing?
Add usage as its own line item, such as "Commercial license: web and social, 12 months," and describe the terms in the notes.
