Tips for contractor invoices
Separate labor and materials
Clients and inspectors want to see what went to labor and what went to materials. Some states also tax materials and labor differently, so separate lines make the tax easier to get right.
Credit the deposit clearly
If you collected a deposit, show it on the final invoice. Enter it in the Amount already paid field and the invoice shows the total, the payment and the balance due.
Reference the job site and contract
Put the job address and contract or estimate number in a line item or the notes so the invoice ties back to the signed agreement.
Attach receipts for large material purchases
For cost-plus jobs, attach supplier receipts to the email with your PDF. It heads off most questions before they are asked.
Frequently asked questions
How do I show a deposit on a contractor invoice?
Enter the deposit in the Amount already paid field, and add a note such as "Deposit of $1,000 received on March 3." The invoice then shows the full total, the deposit and the balance due.
Do contractors charge sales tax on labor?
Rules vary by state. In many states contractors pay tax on materials when they buy them and do not charge it on labor, but some states tax certain repair and installation services. Check with your state revenue department.
When should a contractor send an invoice?
Send progress invoices at the milestones in your contract, such as rough-in and final inspection, and a final invoice when the job is complete. Due on receipt is common for final invoices.
Is this invoice template free?
Yes. Edit the example, add your logo and download a PDF with no account, no watermark and no limit on how many invoices you make. Everything stays in your browser.
