What automation is actually good at

Automation is well suited to work that's repetitive, rule-based, and doesn't require judgment: moving data between two systems, sending a follow-up email when a form is submitted, updating a spreadsheet when a payment clears, routing a support request to the right person. It's fast, consistent, and doesn't get tired doing the hundredth repetition of the same task.

It's poorly suited to anything that requires reading a situation, building a relationship, or making a judgment call with incomplete information - which is most of what actually differentiates a business from its competitors.

Where the time actually goes back to

In practice, the hours automation frees up don't sit idle - they go back into the parts of the job that were getting squeezed out by busywork: talking to customers, solving problems that don't fit a template, and the judgment calls that keep a business running well instead of just running.

A team that spends less time manually re-entering data or chasing down a missing form isn't a smaller team doing the same work. It's the same team spending its time on the work that actually needed a person in the first place.

Starting small, on purpose

A Business Process Automation engagement doesn't start by automating everything at once. It starts with the one or two workflows - usually identified through a Process & Workflow Analysis - that are both repetitive and costly enough to be worth fixing first, then expands from there as the team gets comfortable with what's changed.
