The gap between the org chart and the real process

Every business has an official version of how a task gets done and an actual version. An invoice is "supposed to" go from sales to accounting to the customer in one pass. In practice it might bounce between three people over email twice before it's sent, because of a step nobody documented.

Workflow analysis maps the real version. That usually means walking through a process with the people who actually do it, step by step, and writing down every handoff - not the tidy version described in a meeting, the messy one that actually happens.

Why the map matters more than the fix

It's tempting to jump straight to "automate it" the moment a slow process is identified. But automating a process before mapping it usually just automates the confusing parts along with the useful ones. The map is what tells you which three steps in a nine-step process are actually worth fixing first.

This is also where a lot of "we need an app for that" requests turn out to be something else entirely - a permissions problem, a missing piece of training, or a step that exists only because a system was set up wrong two years ago and nobody's revisited it since.

Turning the map into priorities

Once the real workflow is visible, the next question is which parts to fix first - usually the steps that are both high-frequency and high-friction, rather than the ones that are simply the most annoying to talk about. That prioritization is what feeds directly into a Business Process Automation Strategy: knowing exactly which repetitive step to automate first, instead of guessing.
